A couple of notes:
Thank you for your flexibility and patience at our meet on Tuesday. I know there were some moving parts that were chaotic, so after debriefing with a few of you, I want to make some changes moving forward. This is for home meets only, but I’m hoping other hosts will have a similar setup.
- Kids need to remain in the fire pit area or on the sides of the pool (if cheering on teammates) when they aren’t racing. I know Cherokee has a lot of fun places to go (like the game room, for example), but it makes it challenging for those who are doing Round Up to find kids when it’s their turn to line up.
- I’m adding two Round-Up positions per age group, per session, as well as two Clerks of Course. Behind the scoring tent, we are going to set up an actual Clerk of Course that mimics the setup behind the blocks with numbered chairs for lanes. Once kids have been gathered by the Round Up volunteers, the volunteer for Clerk of Course will then seat those kids in their respective heat/lane chair per the heat sheet. We will then use an additional Clerk of Course volunteer to walk those kids to the starting end of the pool in the order in which they were seated in the Clerk of Course “holding area” so that there’s no confusion behind the blocks. I know we combined a lot of events at the meet and that it was super challenging on all fronts, but I’m hoping this set up will alleviate some of that in future meets. Below is how that will look moving forward:
- We will give each round-up parent and Clerk of Course volunteer a heat sheet.
- Kids need to stay in the firepit area at CCC or on the side of the pool cheering on teammates so that they are easily found.
- Round-up parent 1 per age group will actually round up the kids; Round-up parent 2 per age group will take those kids directly to Clerk of Course.
- Spectators should watch the meet from the bleachers (or BYO folding chair) on the side of the pool only. We had quite a few spectators standing where the timers and workers were, making it challenging to know who was working what and where. It also got really congested behind the lanes, so I’m wanting to alleviate that if possible.
- At meets, please write your kid’s name and age in Sharpie on their backs - this helps all workers locate kids and ensure they’re in their respective lanes. I’ve also been told that it’ll be helpful for the kids (and round-up volunteers) if parents write Event (E), Heat (H), Lane (L) on swimmers’ arms, as well as the leg they’re swimming on a relay to help speed events along.
If you noticed anything else that needs to be addressed moving forward, please let me know.
See y’all in the morning!
